Different set of search results is returned depending on whether you use the Indexing Service when you search for shapes in Visio 2003 (827894)

SYMPTOMS

In Microsoft Office Visio 2003, when you use the Search for Shapes feature to search your local hard disk for shapes, you may find that the number of shapes that are returned in the search results are different depending on whether you use the Indexing Service to index shapes in your drawing. For example, in the English-language version of Visio 2003, when you enable the Indexing Service and you type box in the Search for Shapes box, and then press ENTER, many shapes are returned in the search results. However, when you do not enable the Indexing Service and you perform the same search, either fewer than expected or no shapes are returned in the search results

CAUSE

This problem occurs because if you search for shapes on your local hard disk and you do not use the Indexing Service to index the shapes, Visio 2003 uses the document properties of the stencil to search for masters that match the keyword or keywords that you type in the Search for Shapes box. If the keyword or keywords that you use to search for shapes do not match any of the keywords that are listed in the Keywords box on the Summary tab of a stencil (open the stencil, and then on the File menu, click Properties), the masters on that stencil are not returned in the search results.

WORKAROUND

To work around this problem, enable the Indexing Service and index shapes for increased search capabilities. You must log on to your computer as a member of the Administrators group to turn on the Indexing Service on your computer. To index shapes in Visio 2003, follow these steps:
  1. Start Visio 2003 (if it is not already started).
  2. On the Tools menu, click Options, and then click the Shape Search tab.
  3. On the Tools menu, click Options, and then click the Shape Search tab.
  4. Under Search locations, click Visio Local Shapes (but do not clear the check box), and then click Properties.
  5. Click Yes, enable Indexing Service, click OK, and then click OK.
Note The Indexing Service scans documents and document properties and then stores the information in a catalog. When this service is first started to create the Visio 2003 catalog, it takes several minutes to create the initial catalog. After the initial catalog is created, the catalog is automatically updated by the Indexing Service.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.
