Pasting Data from Works Spreadsheet to Database List View (81002)

SUMMARY

When copying data from a Microsoft Works for Windows Spreadsheet document to the Database list view, data is pasted into sequentially numbered records, beginning with the first highlighted record and including those currently hidden, regardless of which records are currently being viewed.

STATUS

Microsoft has confirmed this to be a problem in versions 2.0 and 2.0a of Works for Windows. This problem has been corrected in Works for Windows versions 3.0 and later.

For example, suppose you have queried your Works 2.0 database so that only records 1, 3, and 5 are showing (that is, records 2 and 4 are hidden). If you copy three rows of data from the spreadsheet, select record 1 of the database and paste, the data will paste into records 1, 2, and 3, even though record 2 is hidden.

In Works 2.0, to paste data into only those records that are currently being viewed, you must first paste the data into another database and copy and paste from one database to the other.

The following steps outline this workaround:

WORKAROUND

  1. Query your database or hide those records that you do not want to paste the spreadsheet data into.
  2. Open your Spreadsheet document and highlight the cells that you want to copy. From the Edit menu, choose Copy.
  3. From the File menu, choose Create New File. Choose Database.
  4. From the View menu, choose List.
  5. From the Edit menu, choose Paste.
  6. From the Edit menu, choose Copy to recopy the data as Database information. This new Database file can then be closed without saving changes.
  7. Open the queried database and place your highlight in the first record that you want the data pasted into. From the Edit menu, choose Paste. The information will now be pasted into only those records currently being viewed.
