PUB: Deleted or Moved Files Still Listed on File Menu (79506)

SYMPTOMS

Microsoft Publisher for Windows provides a list of the five most recently accessed Publisher files when you open the File menu. Files you have moved or deleted remain on this list, if they were among the five files you saved most recently.

If you attempt to open one of the erroneously listed files, you receive a "Cannot find file" error message.

CAUSE

This list of files is derived from MSPUB.INI, not from a directory listing of the hard drive. Because Publisher is not checking the hard drive to obtain this list, files that have been deleted, moved, or were stored on a floppy disk that is not currently in the floppy drive may erroneously appear in this list.

WORKAROUND

Publisher 95 and 97

For information about how to edit the registry, view the "Changing Keys And Values" Help topic in Registry Editor (Regedit.exe) or the "Add and Delete Information in the Registry" and "Edit Registry Data" Help topics in Regedt32.exe. Note that you should back up the registry before you edit it. If you are running Windows NT, you should also update your Emergency Repair Disk (ERD).

Registry Key

\HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Publisher\Recent File List

To clear an entry click in the right pane on the entry you would like to delete and then click delete on the edit menu or press the delete key.

In Publisher 97 if you try to open a missing file using the most recently used file list Publisher recognizes that the file is missing and updates the Recent File List registry file itself.

Publisher 2.x

MSPUB.INI (located in the Windows folder) has a section that looks like the following:
   [Recent File List]
   File1=c:\mspub\file1.pub
   File2=c:\mspub\file2.pub
   File3=c:\mspub\file3.pub
   File4=c:\mspub\file4.pub
   File5=c:\mspub\file5.pub
				
To clear the list in Publisher, do the following:
  1. Close Publisher.
  2. Delete the lines in the [Recent File List] section of MSPUB.INI (do not delete the section heading), and restart Publisher.

    If Publisher is open when changes are made to MSPUB.INI, Publisher ignores the changes and rewrites the previous list.

STATUS

This behavior is a normal function of Publisher, and is similar to features provided by Microsoft Word for Windows and Microsoft Excel, which provide a list of the four most recently used files.
