SUMMARY

Microsoft Money stores information in data files that have the extension .MNY. To keep accounts separate, you may want to create additional Money data files.

For example, you can create one data file for your personal records and another data file for your business accounts. However, reports that are produced by Money can only include transactions in the currently active Money file. If you want to combine information from multiple accounts into a single report, those accounts must be in the same Money file.

To create a new Money data file or an additional Money data file to hold a separate set of accounts, follow these steps:
  1. On the File menu, point to New, and then click New File.
  2. In the File Name box, type a name for the new file. The extension .MNY is automatically added for you.
  3. Select a drive or a directory for the new file, if it is different from the one that is shown.
  4. Click OK.

    Money can only open one file at a time. When you open or create another file, Money must first close the currently active file. Accordingly, Money may ask if you want to back up the file that you have been working with.
  5. If you are prompted to back up your Money file, click No, Don't Backup or click Postpone, depending on your version of Money.

    When you respond, Money closes your current file and opens the new file.
Follow the instructions that appear on the screen to set up the new file.

Start Money by using a specific data file

Typically when you start Money, the program will open the file data that you used most recently. To open a different data file, follow these steps:
  1. Start Money.
  2. Click the File menu, and then click Open.
  3. Locate the file that you want to open.
  4. Click Open.
You can create shortcuts or Program icons that point to specific data files. Then, you can double-click the appropriate shortcut or icon to start Money by using a specific data file. To learn more about how to create shortcuts, see the Microsoft Windows Help file or your program documentation.
