SUMMARY

Data labels in Microsoft Works charts default to the format applied to the number format of the first series in the spreadsheet. To change the formatting of the Data Labels, use one of the following methods:

  • Change the First Series of data to the range of cells with the appropriate formatting.

  • Re-format the First Series of data by changing the format of the existing ranges of cells in the spreadsheet.

Method 1: Changing the First Series of a Chart

For example you want to change the first series from B1:B10 to A1:A10 because the A column has the desired formatting for the Data Labels.

  1. In the Spreadsheet, highlight the ranges of cells you want to use as your first series (for example, A1:A10).
  2. From the Edit menu, click Copy.
  3. From the Window menu, switch to the Chart.
  4. From the Edit menu of the Chart, select Edit Series.
  5. Move the existing 1st Series cell range by retyping it into the next available series box. (For example, retype B1:B10 in the 2nd Series box.)
  6. Place the cursor in the 1st Series box and click Paste. The range of cells should display in the 1st Series box now (for example, A1:A10)

Method 2: Changing the Format of an Existing Series in a Chart

For example, if you want data labels on the chart to be in percent format, do the following:

  1. In the spreadsheet, highlight the series of values that is defined as the first Y series.
  2. From the Format menu, click Percent (ALT+F+P) and enter the number of decimal places. Press ENTER.
  3. Click Chart from the tool bar, or from the Charts menu, click Create New Chart. Note that all data labels are formatted as a percent.
NOTE: If you highlight a series of values in your spreadsheet and format that series as the data label for one series, any character format placed on the series will appear in the same format as the (vertical) scale of the chart.
