MacWDX: Word Creates Duplicate Contacts in Address Book (312207)

SYMPTOMS

Duplicate contacts may appear in the Address Book after you upgrade to Microsoft Office v. X for Mac and then open the Address Book in Microsoft Word X for Mac.

CAUSE

This behavior can occur if all of the following conditions are true:
  • You upgrade an existing installation of Microsoft Office to Microsoft Office 2001 for Mac, do not remove the earlier version, and the earlier version includes a Word Address Book.

    -and-
  • You upgrade Office 2001 to Office v. X.

    -and-
  • You start Microsoft Entourage X for Mac, and then you choose to import the Office 2001 Address Book either at first run or at a later time.

    -and-
  • You start Word X and then open the Address Book (using Word X). Word then imports the Address Book from the earlier version of Office, which creates duplicate entries in the Office v. X Address Book.
This behavior occurs if multiple Address Books are imported into the Office v. X Address Book. The Office v. X Address Book does not search for duplicate entries. If there are multiple Address Books that contain the same entries, duplicate contacts can be imported into the Office v. X Address Book.

Microsoft Word 6.x for Macintosh and Word 98 have separate Address Books. The Address Book in Office 2001 is used by all Office 2001 programs.

Entourage X includes an Import command on the File menu, which allows you to import additional contacts into the Office v. X Address Book from other programs and from comma-delimited or tab-delimited text files. This import feature does not check to see if an imported contact already exists in the Address Book.

WORKAROUND

To work around this issue, open the Office v. X Address Book, and then manually delete the duplicate contacts. To do this, follow these steps:
  1. On the View menu, point to Toolbars, and then click Contact.
  2. Click the More Buttons arrow at the far-right side of the Contact toolbar, and then click Address Book.
  3. Open the contact that you want to delete by double-clicking it.
  4. Click the Delete button on the toolbar in the Contact dialog box.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.
