The following items cannot be removed from a file during the archive procedure:
  • Any Investment account or its associated Cash or contributions account.
  • Any transaction to a Cash or Contribution account.
  • Any transaction to any account not being archived.
  • Any transaction that contains a detail or split to any account not being archived.
  • Any transaction that contains a detail or split to any Investment account or its contribution account.
  • Any transaction that contains a detail or split from an Investment account or its contribution account.
  • Any transaction that contains a detail or a split from an account not being archived.

For transactions that remain in the file after archiving that do not fall into one of the situations listed above, may be a result of specifying an incorrect date. Check the date that you specified in the Archive dialog box to make sure that you did not type it incorrectly. To do this, follow these steps:
  1. Open the file that you want to archive.
  2. On the File menu, click Archive.
  3. Verify that the date is correct, and then click OK.
Transactions that are still in your file and are related to an Investment account or its associated cash account cannot be archived.

Microsoft Money cannot remove any open transaction or any transaction that contains information necessary for calculating your currently held investments' value or performance. Money is not able to remove any transactions for an open investment, because it needs the date of each transaction to correctly differentiate between long-term and short-term capital gains.

Money is able to archive closed investments, such as a stock in which all of the shares have been sold. It is not recommended that you archive any investment activity, since a complete investment history is needed to accurately track capital gains.

The archived copy of Money (with last year as the default name) is actually a backup copy of everything in your current Money data file before the archive process is started. Your current file is the one from which transactions are removed (making it smaller in size).

Note When you archive, the beginning balances of the current file should be adjusted by the amount of data archived. Currently, you have to manually adjust the beginning balances of the current file after you archive.
