ENT2001: Duplicate Entries Appear for Each Synchronization with Entourage and PalmPilot (302611)

The information in this article applies to:

  • Microsoft Entourage 2001 for Mac

This article was previously published under Q302611

SYMPTOMS

When you use Entourage to synchronize with a PalmPilot or Handspring Visor handheld device that is running the Palm OS, the Address List in the Palm-based device may show duplicate entries for each synchronization.

CAUSE

This behavior can occur for any of the following reasons:
  • You imported data from Entourage into the Palm Desktop.
  • The Entourage Conduit Address Book is set to overwrite Palm device entries, thus creating copies of existing records and categories in the Palm device.
  • Entourage category names exceed 15 characters in length, and some category names begin with the same first 15 characters.

RESOLUTION

To resolve this behavior, modify the Conduit settings and then, if necessary, change long category names to eliminate any duplicate 15-character strings.

Modifying the Conduit Settings

  1. Remove the duplicate entries from the Palm Desktop software's Address Book.

For information about how to perform this procedure, contact Palm Computing Inc. at the following Web site:
  2. Configure the Address Book Conduit to overwrite the handheld files and the Entourage Conduit to do nothing.
  3. Perform a HotSync. Note that during a HotSync, the Palm Desktop Address Book entries replace the entries that are on the Palm device.

For more information about HotSync and Palm desktop synchronization, refer to the documentation that is supplied with your Palm device.

Changing Duplicated Category Names

Check to see whether Entourage has multiple category names that begin with the same 15 characters. If you find duplication, change one of the category names:
  1. On the Edit menu, point to Categories, and then click Edit Categories.
  2. Double-click the category name that you need to change.
  3. Change the category name so that the first 15 characters are unique among category names.
  4. Close the Categories window to save your changes.
