Print preview displays the same record for the whole page in Publisher 2003 and in Publisher 2002 (279390)

SYMPTOMS

If you click Print Preview (on the File menu) to view a merged list of labels, print preview displays a full page of labels using a single contact record, rather than using a separate entry for each merged record on that sheet. When you print your labels, the labels are printed correctly.

CAUSE

The Print Preview feature only uses the current record as a document. Merged information is not used for the preview.

WORKAROUND

If you want to verify that the merged information will be printed the way that you want, follow these steps, using a plain piece of paper, before you print your records on label stock or envelopes:
  1. On the File menu, click Print Merge.
  2. Click Test. This prints the first two rows of merged data, allowing you to verify that the print merge is working correctly.
  3. Print your mail merge as you normally do, using label or card stock, or envelopes.

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.
