WD2001: Query Options Button Is Non-Functional When FileMaker Pro Is the Data Source in a Data Merge (268424)

SYMPTOMS

When you attach a FileMaker Pro database as the data source for a data-merge document, the Query Options button in the Data Merge Manager is available, but when you click it, nothing happens.

WORKAROUND

To work around this behavior, you can set up as many as three filter criteria in the FileMaker Import Wizard. Here is an example of how to use a filter in the FileMaker Import Wizard:

NOTE: The following example uses a sample file that is normally supplied with FileMaker Pro 5.0 as the data source, and assumes that you are sending form letters to people with the surname "Smith."

  1. Start Microsoft Word 2001 for Mac and open a new blank document.
  2. In the Data Merge Manager, click Create, and then click Form Letters.
  3. Click Get Data, and then click FileMaker Pro.
  4. In the Choose a file dialog box, navigate to the FileMaker Tutorial:Sample Files folder, and click to select Sample02. Click Open.
  5. In the FileMaker Import Wizard, under Available fields, double-click the following fields to move them to the Fields to import list:

    Last Name
    First Name
    Home Address 1
    City

  6. Click Next.
  7. Under Criteria 1, select Last Name from the field list. Accept the equal sign as the operator, and then type Smith in the criteria value box. This limits the records to be used to only those that have "Smith" as a last name. Click Finish.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed at the beginning of this article.

The Query Options button should not be available when you get data from FileMaker Pro.

You can filter data from a FileMaker Pro database using the FileMaker Import Wizard when you attach the data source to the main merge document. You must, however, use the sorting features available in FileMaker Pro to order your data prior to attaching it to your merge document.

NOTE: The Query Options button is not available when you get data from the Office Address Book.

  1. On the Help menu, click Contents and Index, click Index, and then click M.
  2. Scroll down until you locate merge, and then click the arrow to the left to view a list of topics under the general topic.
  3. Click Working with data sources in data merge.
If you cannot find the information that you want, ask the Office Assistant.

For more information about sorting data source records in data-merge operations, follow these steps:
  1. On the Help menu, click Contents and Index, click Index, and then click S.
  2. Scroll down until you locate sort, and then click the arrow to the left to view a list of topics under the general topic.
  3. Click Sort data records in a data-merge data source.
If you cannot find the information that you want, ask the Office Assistant.
