XCCC: Error Message: The Requested Conferencing Resources Are Overbooked (263132)

SYMPTOMS

A conference organizer who tries to change the video conferencing resource for an existing and currently running conference may receive the following calendar item e-mail decline notification:
The Microsoft Exchange 2000 Conferencing Server was not able to process your meeting because the requested conferencing resources are overbooked.

Also, when the user tries to join the conference, users may receive the following error Web page:
Conference Not Found

The Conference Management Service cannot find the conference you are trying to join.

Try the following:
  • If the conference was recently scheduled, wait a few minutes, and then try again.
  • Contact the conference organizer; the conference may have been canceled.
  • Verify that the meeting ID displayed in the URL of your browser is the same as your conference's meeting ID.
  • If this is a recurring conference, there may have been problems resolving the individual occurrences.
  • Select a current conference from the list of available meetings.

CAUSE

There are several reasons why the decline e-mail notification and "Conference Not Found" Web page are displayed:
  • Modifying Video Conference Resources
    If an administrator tries to change a video conferencing resource on a running conference to a resource that does not have the identical properties, such as Send audio on join, the change operation does not work. A decline e-mail is sent to the person who is trying to update the conference, and the meeting is deleted from the Site Conferencing Calendar mailbox that is used to provide users with the conference meeting information.
  • Extending a Conference
    If a customer tries to extend a currently running conference through Microsoft Outlook past the maximum lease time for the video provider.
  • Scheduling a Conference with Microsoft Outlook 97 or Microsoft Outlook 98
    If you try to schedule a conference against an overbooked resource in asynchronous mode (user unable to access resource's free-and-busy information) using clients such as Microsoft Outlook 97 or Outlook 98. You may also receive the message if the Site Conference Calendar mailbox exceeds the size limit for that mailbox.

RESOLUTION

  • Set the properties for the video conference resource to be identical to the currently used resource before you try to change the resource.
  • Extend the conference within the Maximum conference extension time in minutes parameter specified by the Video Conferencing Provider.
  • Verify that the conferencing resource's free-and-busy information is free for the time requested.

STATUS

Microsoft has confirmed that this is a problem in Microsoft Exchange 2000 Server.

MORE INFORMATION

A resource change deletes the conference calendar item from the old resource and creates a new one. If a conference technology provider declines a meeting update, it is removed from the Site Conference Calendar mailbox, and then produces the "Conference Not Found" Web page.
