WD2000: Applying Outline Numbering to List Doesn't Apply Correct Number Levels (224625)

SYMPTOMS

When you apply an outline numbered list format to text formatted with heading styles, Microsoft Word may not apply the correct number level to the formatted text.

For example, suppose you have a list with the following formatting:

Text    <---- Heading 1 style applied
Text    <---- Heading 2 style applied
Text    <---- Heading 3 style applied


When you apply an outline numbered list format, Word 2000 may number the selected text as continuous, regardless of the heading style (list level) applied, as in the following example:

1) Text
2) Text
3) Text


In contrast, when you apply an outline numbered list format in Microsoft Word 97, Word numbers the same list as follows:

1) Text
    a) Text
        i) Text


NOTE: This problem occurs with the three outline numbered list formats in the top row of the Outline Numbered tab (on the Format menu, click Bullets and Numbering).

CAUSE

The behavior occurs if the outline numbering levels are not linked to heading styles. By default, the outline numbering levels for the presets at the top of the Outline Numbered tab are not linked to heading styles. (In contrast, the outline numbering levels for the presets at the bottom of the Outline Numbered tab are linked to heading styles.)

Although Word 97 treats the links between outline numbering levels and heading styles similarly, the way Word 2000 applies numbering to your list is different.

RESOLUTION

To correct this problem, link the heading styles applied to your list to each level of the outline numbered list format that you use. To do this, follow these steps:
  1. Apply the proper heading style to each item in your list as usual.
  2. On the Format menu, click Bullets and Numbering.
  3. On the Outline Numbered tab, click the outline numbering format that you want to use, and then click Customize.
  4. In the Customize Outline Numbered List dialog box, click More and then follow these steps:
    1. In the Level list, click the level that you want to assign to a particular heading style. For example, click 1.
    2. In the Link level to style list, click the heading style that you want to assign for this level. For example, click Heading 1.
    3. Repeat steps 4a-4b for each level (heading style) in your outline numbered list.
    4. Click OK.
Your numbered list now resembles the following example:

1) Text
    a) Text
        i) Text
