PUB2000: Some Font Characters Are Displayed as Boxes While Editing (218703)

The information in this article applies to:

  • Microsoft Publisher 2000

This article was previously published under Q218703

SYMPTOMS

While you are editing text in a Microsoft Publisher 2000 publication, some fonts may display as boxes instead of characters.

In addition, some of the characters in the font Sample may be displayed as boxes in the Font dialog box. This will occur when Small caps or All Caps is selected.

CAUSE

The font that you are editing may have been subsetted before it was embedded into your publication, and then moved to a computer that does not have the subsetted font installed.

When a font subset is used, Publisher will display a box in the place of any characters that are not in the subset.

RESOLUTION

To resolve this problem, use one of the following methods.

Method 1: Embed the Entire Font

  1. Open the publication on the machine where it was originally created.
  2. Select each Font in the Load Fonts window, and click Don't Load.
  3. On the Tools menu, point to Commercial Printing Tools, and click Fonts.
  4. Click to clear the Subset fonts when embedding check box.
  5. Click OK.
  6. Save the publication to embed the entire font.

Method 2: Replace the Font

Replace the font with a similar font that is fully installed on the computer where you are editing the publication.

MORE INFORMATION

If you use only a small number of characters from a font, you can have Publisher embed only the characters you used from the font. Embedding only part of a font is called "subsetting".

The advantage of font subsetting is that it decreases the overall size of your file when you move your publication to another computer or take it to a service bureau for printing. The disadvantage is that it limits the ability to make corrections at the printing service. If you do not have the full font installed on the computer, you can only make changes using the characters contained in the subset.
